Green Security has a live Customer Service Team to assist you through the registration process.
- Provisions for meaningful education of all pharmaceuticals and products presented during the Expo is required, not just pitched to prescribers.
- Vendors will not track, review nor discuss the amount of scripts written for any vendor or medication.
- Acknowledge that any and all new medications and treatment protocols must be approved by the Pharmacy & Therapeutics committee prior to prescribing or ordering.
- Vendors must have expert commentators/educators involved in order to ensure it is not a marketing event.
- Vendors who have a desire to participate are allowed regardless of whether or not their pharmaceuticals and products are on our approved formulary.
- All funds will be paid to Phoebe Foundation with the purpose of providing support for Oncology services.
- Overt promotional materials will not be allowed.
When pharmaceutical companies participate in a hospital-hosted pharmaceutical expo, it’s important to follow guidelines and parameters that ensure compliance with regulations, ethical standards, and the hospital’s policies.
- Compliance with Regulations
- Adherence to Industry Codes: All promotional activities must comply with applicable industry standards, such as the PhRMA Code on Interactions with Healthcare Professionals and any relevant FDA or global regulatory requirements.
- Accurate Information: Only provide accurate, approved, and evidence-based information about products. Avoid off-label promotion.
- Transparency: Clearly disclose the sponsorship or funding of any exhibits, educational activities, or giveaways.
- Exhibitor Conduct
- Professional Behavior: Staff should act professionally, refrain from aggressive marketing, and avoid putting pressure on attendees to purchase or recommend products.
- Educational Focus: The primary goal should be education and awareness, not sales or promotions.
- Clear Identification: Exhibitors should display proper identification, including company name and staff credentials.
- Gifts and Giveaways
- Compliance with Policies: Follow hospital and regulatory policies regarding permissible giveaways.
- Nominal Value: Any giveaways must be of nominal value (e.g., pens, notepads) and educational in nature.
- No Gifts to Influence Decisions: Avoid providing gifts that could be perceived as influencing prescribing or purchasing decisions.
- Ethical Interactions with Healthcare Professionals
- Transparency in Relationships: Clearly disclose any financial relationships or sponsorships.
- Avoiding Conflict of Interest: Do not pressure healthcare professionals to endorse or prescribe products in exchange for perks.
- Respect Hospital Staff and Policies: Adhere to all rules regarding interactions with hospital staff and access to restricted areas.
- Data and Feedback Collection
- Voluntary Participation: Make feedback collection voluntary and avoid coercive tactics.
- Oversight and Accountability
- Hospital Oversight: The hospital may designate a compliance officer or committee to oversee expo activities.
- Incident Reporting: Establish a mechanism for reporting and resolving any non-compliance issues during the expo.
- Post-Event Evaluation: Conduct a review to ensure compliance and gather feedback for future improvements.
